Printer Jams on the 1st Floor
UPDATE: The first floor printer needs a new fuser. SymQuest (our repair company) should be replacing it this week.

Lab Monitor Meeting
Joe would like to have a lab monitor training and meeting in April. There will be a survey posted soon to see when the best time would be to hold the meeting. Attendance will be mandatory.


Work-Study Payroll Dates
Please submit your payroll every week. However, you must submit it before 11 a.m. on the weeks listed below in order to get paid. You will get paid on the Friday after the Monday that your payroll is due.
The check will either be mailed to your local address, or directly deposited into your account.

Unregistered Microsoft Products?
Let Joe know if you receive any messages while assisting students that our copy of MS Office is not registered. I'm not sure if our copies are not registered or if it is a virus. Right now, I know of only one computer displaying this message, Millerref-01.

New Lab Monitor
Matt Fortier is a new lab monitor in the library. He will be working on Tuesday nights this semester. Please welcome Matt to the team and help answer any questions he may have.

Continuing Printer Issues
Printer issues continue to crop up as the semester begins. Please report any known issues to me so that I can have the HelpDesk fix them. They seem to be related to imaging, so we are unable to fix them ourselves.

Malware
Some computers on the first floor were infected with malware, specifically Bo Browser, an especially nasty piece of code that reads all of your downloads. Let me know if you come across this malware or any others because they must be fixed immediately.

End of Semester Party
Please go to the survey here and let me know when you are available for the end of semester party if you haven't already. Please do so by the end of next week so that I can start planning for food.

Chrome Book Pack
From 11/10 to 11/21 the library will hosting a Chrome Book Pack for Academic Affairs so that faculty can complete the IDEA survey. The pack is the blue suitcase in my office behind the desk. It should be plugged in to charge the Chrome Books when in my office. If a faculty member asks you for the pack, just check their ID to make sure they are faculty or staff, and then you can give it to them. You do not need to have them sign it out or check it out through Millennium. When they bring it back, put it in my office and plug it in. Any questions about the Chrome Books should be directed to Ellen Zeman, (802) 651-5912.

Weekly Updates 11/10/14 - 11/16/14

Black Filing Cabinet Fix
The black filing cabinet can be finicky and appear to be broken sometimes. In order to "fix" it, make sure you push in both drawers fairly hard (I put my foot against the bottom drawer), and then try pulling out one drawer while holding the other drawer in. That should take care of the drawers not opening.

The reason that the cabinet seems broken is that there is a mechanism in the back that prevents both drawers from opening at the same time so that it doesn't tip over. When that mechanism doesn't engage properly neither drawer will open. By pushing in both drawers, the mechanism should reengage.

Closing Procedure Checklist
If you are the last lab monitor working at night (check When I Work to see the schedule), make sure that you complete the closing procedure checklist before you leave. Lately, computers have not been turned off and the printers have not been filled with paper at the end of the night.

Computer MillerRef-02, 04, & 07 Not Printing
These computers on the 1st floor are no longer mapped to any printers in the building. I put a sign on the computers and entered a HelpDesk ticket for it. HelpDesk says that they are working on the problem because it is on going.

Task Sheets
Remember to fill out the lab monitor task sheets for every hour that you work. I check them regularly to make sure that people are on task. This is part of your job so you need to make sure they are done.

Issues with 1st Floor Printer
The 1st floor printer was displaying an error message this morning that asked me to turn it off and then back on. I tried this a few times and it still had the same message. I then tried it and went to the job queue and deleted a job that had shown an error previously in the job log. This seems to have corrected the problem. Keep this in mind if the issue comes up again.

Computer MillerRef-05 Not Printing
MillerRef-05 on the 1st floor is no longer mapped to any printers in the building. I put a sign on the computer and entered a HelpDesk ticket for it. This is not the first time that this has happened with this computer.

Shift Check-In
You are required to check in with your shift supervisor (me or a circulation coordinator) every time you start a shift. This is so that I can have an accurate record of when you worked for payroll purposes. Excessive failures to check-in may result in dismissal from your position.

The fading issue has been corrected. The timing belt was askew in the printer. Let me know if you notice any further problems.

Paper Supplies
Please alert me when our paper supply gets down to three boxes worth (30 reams). There are three additional boxes in the basement printer room that should be moved up to the first floor cabinets once there is room.

Candy
All of you guys can have some candy to thank you for your hard work. I have large Hershey's bars, Three Musketeers, and packs of Oreos, as well as minis of Twix, Milky Way, Kit Kats, Butterfingers, and Snickers. You can either have one large candy or three small ones. Come by my office to get the candy or email me and I will leave it tacked to the board behind the door in my office.

Information Log Sheet
Please use the information log sheet, found at https://creator.zoho.com/lab2ndfloor/mic-2nd-floor-lab/#Form:Information_Log_Sheet, whenever an issue arises. This will help me monitor your work and also keep me aware of any issues extending beyond your shift. If you have questions about filling out the sheet let me know.

Continue filling out the task sheets each shift. I will be periodically checking them. You can print them from the wiki as needed.

Kurzweil Program
The second floor Kurzweil computer is not currently allowing users to log-in. The username was user and the password was user. Those are not currently working. The program has also, as of now, not been installed on one of the laptops, but there are plans to do so.

Computer Issues
According to the HelpDesk, all of the computer issues that we were having at the beginning of the year have been sorted out. Let me know if you come across any other issues.

Kurzweil Program
There are going to be two computers with the Kurzweil program in the library, the one on the second floor hallway, and a laptop available for check out at the Circulation Desk. This program helps people with learning disabilities read.

Tasksheet
Please continue to use the tasksheet for your hourly rounds. Print them from the wiki as needed.

Supplies
I am ordering two more staplers to replace the two that broke at the beginning of the semester. Most of the paper from the 20 box shipment we received is in the cabinets in the first floor printer room. There are three boxes in the basement printer room because I couldn't find any more storage space.

Circulation Manager & Access Services Librarian new.gif
Joseph (Joe) Sikowitz will be in charge of the department starting on August 11th. He has experience working in a circulation department in New Orleans. He has trained, managed and supervised employees. He also has experience redesigning a circulation manual, and managing daily and weekly schedules. Please stop by the office and introduce yourselves. He is very eager to meet all of you.

People wondering why the library aides use the phone to call them? They mentioned they can hear the call in stereo. Wondering if a bell or something else would work.
Please don't overfill the 1st floor printer, because it causes jams.
The lab monitor computer is a little better than the last computer, but still very slow.
2nd floor stapler shoots out staples

Suggestions for Improvements:
Closing sheet could really be a full sheet. It would be great to have a place for notes.
It would be great to have an out of order sign on the wiki.
It would be great to have information about where to put the empty toner cartridges
It would be great if any problem with equipment would be listed on the wiki announcement page
Could we look into getting a new scanner. Sometimes the lamp adjustment takes 5 minutes.

What I will be working towards:
Re-sizing the closing sheet & adding notes field
I will put an out of order sign on the wiki under "signage"
Working with Kennedy to create a "Facts" or "Things to Know" page with helpful information on the wiki (like where to put empty toner cartridges)

Welcome Back
Hope you all had a great break. The schedule is on the program "When I Work." You can request time off and pick-up shifts using this program. I will be hiring new people to fill the available hours. I want to give you first choices, so please send in your requests for shift changes ASAP.


Closing Sheet
I have changed the closing sheet to be just one sheet of paper that you fold in half. Also, I have added the information to keep the scrap paper in the trays on the 1st and 2nd floor. I will pick up the paper in the morning.

Toner Replacement for Printers
Ken from Symquest was letting me know that the drum or diffuser that is attached to the toner cartridges (Kyocera), or the bottom of the cartridge (HP) of all printers is magnetic. We have been wondering for years how staples were getting inside of the printers. Once the staples get inside the printer they ruin the drum/diffuser and cause streaking problems on the print outs.

Every time you remove the entire toner cartridge (on all models) and put it on the counter, you run the risk of accidentally picking up staples. The next time you remove the entire toner cartridge please make sure to wipe away any staples that might be on the counter.

He also suggests that if you cannot remove a paper jam physically with your own hands, that you put up a sign that the printer is out of order, until someone more knowledgeable can remove the jam.

Paper Towels Around the Building
We could not get a paper towel dispenser in the building. Instead, we were given boxes of paper towels. We put one box at the lab monitor station. The 1st floor box is located at the front desk, and the tower room. The basement box is located on top of the single work-station that does not have a computer. The 3rd floor box is located on the counter at the entrance to the Vista Room.

2nd Floor Paper Cabinets
We have been asked to create a temporary space for mailboxes on the 2nd floor. We have decided to put these mailboxes in the first paper cabinet on the 2nd floor. You will find paper in the 2nd and 3rd cabinets. I will be working on getting the lock changed.

KleenGuard Masks at the Front Desk
There has been concern about people spreading illnesses to others. We have masks to hand out to anyone who does not want to catch anything from a person who appears sick, or who is coughing. You can also offer a mask to anyone who does not want to spread illness to others. There are more masks in the office, if you need them. Please direct the person to the front desk for a mask.

Hand Dryers in the Bathrooms
Everyone bathroom only has a hand dryer. They removed all the paper towels from the bathrooms. I have stored some paper towels in the bottom drawer of the small gray cabinet in the office. This is in case someone spills something in the building. I have also put the band aides in that drawer as well.

Sign on the Lab Monitor Station
Just a reminder to put the sign down or away at the end of your shift, especially when you work a closing shift. I have seen the sign up when no one is working. We don't want people thinking a lab monitor is taking an hour or more to take care of the printers ;-). Thanks for your attention to this matter.

OneNote Printing Issue
I sent a message to the person who images our computers to let him know about the OneNote printer issue. Here is his response, "I am the one who manages the images at this point; however, that part is set post imaging. I will get a job in to have a tech come up and try and isolate what changed so we can figure out how to get it fixed."
Please let me know if you see a change. Sometimes they will let me know. Other times we find out by accident. I will update you once I know more.

Items at the Lab Monitor Station
If you have not already noticed … I put a box of golf pencils on the lab monitor desk. We give out golf pencils at the desk as well. We do not give out pens. I also put a box of tissues in the top drawer where the staples are stored. I also put a small vacuum cleaner in the 2nd drawer of the small gray cabinet.

2nd Floor Printer Error Code 49.4C02
According to Symquest that code means the lead print job is not formatted correctly, and it needs to be cancelled. You can either try to cancel the print job from the printer, or ask one of the supervisors to cancel it. Please make sure to post the information on the Question & Answer Log for tracking purposes.


Students Locked Out of Their My.Champlain Account
I saw a posting that a student was locked out of her account during the hours the Help Desk is closed. I asked the Help Desk if there was a solution to this problem. Here is their response: "When any user gets locked out of their account, they can just wait 30 minutes, and their account will unlock. If it is an emergency, they can contact us during our business hours and we can unlock it. They should be all set, assuming they remember their password."

Online Suggestion Box & Help Desk Work Order
I added the online suggestion box to the wiki. It's on the sidebar. It's anonymous, so you will have to add your name if you want me to get back to you personally. Otherwise, I will post the information on the wiki, so you will know the outcome of the suggestion. I added a link to the bottom of the Question & Answer Log, so you can send a work order to the Help Desk (instead of calling them). However, for some reason, the link only works using Explorer. I will investigate more. If you have any suggestions, let me know.

Toner Cartridges
Please make sure to put the used toner cartridges in the office, room 103. This used cartridge allows us to see when we need to reorder a new cartridge. We also send the used cartridge to be recycled.

Replacing Kyocera Toner
When putting in a new Kyocera toner, you have to seriously shake the Kyocera toner cartridge before you put it in machine. Otherwise, the toner clumps and causes problems with the diffuser. The 1st floor printer is out of order until we get a new diffuser.

Timecard Falsification & Breaks
Just a reminder to put the exact time you start and end your shift on your online payroll. I have seen people come in 10 minutes late and list the time as if they started on the hour. This is no different than stealing, because you are stealing time. Also, you allowed a 15 minute break for every four hours of consecutive work. Going over this time will need to be taken off your hours.

HDMI Mac Adapter
We now have a HDMI Mac adapter for the large TV/monitor screens in MIC303 & MIC304 study rooms. Anyone with a 2010 MacBook, MacBook Pro & Mac mini should be able to use it. This item is available for check out at the front desk.

Refilling Paper Trays at the End of Your Shift
Just a reminder to make sure the paper trays are filled at the end of your shift. I have received reports that several of you have not been filling the trays. This is one of your duties that must be taken care of every time you work.

Found Flash Drives
A student was contacted about a flash drive that was found in the building. We did not have it in our lost and found drawer. I found the flash drive upstairs in the small gray cabinet. If you find a flash drive, please do the following things … 1) you can either email the student yourself or we can. 2) bring the flash drive to the front desk. We usually wrap the flash drive in a piece of paper with the person's name and date they were emailed. We ask the person to bring a photo ID. We put the flash drive in our lost and found drawer.

Equipment Your Responsible for as a Lab Monitor
I apologize if I did not inform the new lab monitors about all the equipment that you are responsible to either help someone use or report if it's not working. You are responsible for the scanner, the TV/DVD/VHS players (located across from your work area & in MIC220), the ADA computer in front of MIC220, and the LCD panels in MIC303 & 304. Please try your best to help people use these items. Also, please make sure to post in the Question and Answer Log when they are not working, so I can get them fixed.

I have seen several posts about items students ask all of you about. I thought I would update you on items that are available on the 1st floor.
At the Desk: Scissors, Eraser, Golf Pencils, Scrap Paper, Tape, Staple remover, Paper Clips & Tissues. In the 1st floor printer room: Pencil Sharpener, Three Hole Punch, Paper Cutter, Staplers & Photocopier. Hope this helps.

1st & 3rd Floor Kyocera Printers
The terminology used for the Kyocera printers on the 1st & 3rd floor is very confusing. There is a fair amount of information on the wiki that should help with some of the problems related to those printers. I also discovered that the orange button is the cancel button, so I labeled it. Try finding a solution to the Kyocera printer problems using the wiki search box. If you cannot find the answer, let me know. I will try to have as much information on the wiki site to help solve the reoccurring and new problems that arise. I just labeled the MP tray & taped instructions on the front of the printers on how to cancel a Load MP Tray print job.

Coffee and Vending Machine in MIC101 Tower Room

The vending machine has been moved so you can see it from the entrance. Next to the vending machine is a coffee/tea/hot cocoa dispenser. It currently only takes cash. The card swipe should be working later this month. It costs $1.50 for coffee and $1.25 for tea and hot cocoa.

Computer Monitor Location
I have set-up the new monitor so people can see the lab monitors when the enter the 2nd floor. In the past, the lab monitors have tried to hide behind the old desk or monitor. Now, the monitor is taped to the desk, so no one will move it. We will talk more about Customer Service during one of our meetings.

Will I Be Asked Back Next Semester or Get a Good Reference?
1) Not reading the wiki announcements every time you work. I am very aware of the people who do not read the announcements. I need to know your level of commitment to this position. What should I tell a future employer who asks about your attention to detail or adhereing to the rules?
2) Unplanned absences or too many planned absences. Missing shifts tells me you're not interested in the position. Again, I need to see a level of commitment from all of you. What should I tell a future employer who asks about your attendance record?
3) Not filling the paper trays at the end of your shift. If you're not interested in doing all aspects of this job, you should look elsewhere next semester. What should I tell a future employer when they ask about your work habits?
4) Not checking in with me or a supervisor at the beginning of your shift. This is a new system we are trying out. If you do not work with me on it, we will have to go back to using the time clock.
5) Going by my office when you fill the 1st floor printer. I should be seeing people on an hourly basis going by my office.

For the most part, you have all done really well. If any of the above items seem familiar to you … now is the time to change things. We only have 7 weeks left in the semester.

Timecard Falsification
I have been noticing that some of you put down the exact time your shift begins and ends. I have noticed that a few of you are not working during the time you stated on your time entry. Also, the circulation assistants have reported that some of you are coming in late or leaving early for your shifts without letting anyone know. In addition, I am not seeing people going by my office or the front desk to fill the 1st floor printer. Filling the printers should be the first thing you do when you get here.

Overfilling the Printers
The printer in the basement and 3rd floor have been jamming a lot lately. It’s mostly due to the overfilling of the paper trays. Please do not pack the paper in the trays for those printers. Try not to fill them more than ¾ full. I put a black line on the blue tabs in the back to let you know how full the trays in the basement & 3rd floor should be.

Double Sided Printers
All lab printers are double-sided. All the printers have duplexing units. This is were most of your jamming will occur. You can help people change the settings under the preferences. We now have staplers on each floor of the library. You check the staplers when you make your rounds to check the paper. You must keep the staplers filled just like the paper trays for the printers.

Hand Truck in Room 103
We now have a hand truck to transport paper from the paper cabinets on the 2nd floor to the lab monitor filing cabinet. The hand truck is in the office, room 103. It’s next to the cabinet where the paper key is stored.

Procedure:
You could come to get the paper key & the hand truck at the same time.
You would return both to the office, room 103.

Socializing While Checking the Printers
It was occurred to me that the new people are unaware that taking time to chat with people in this building is the same as time card falsification. This is my fault for not making this clearer. I have upgraded this policy to include this information.

I have noticed several lab monitors socializing with the library aides at the front desk. When you roam the building to put paper in the printers, you are no longer working when you stop to socialize. If you want to socialize, you must punch out first.

Timecard Falsification
Timecard Falsification happens when someone clocks in for a shift, but leaves to do personal things. This includes walking around the building and chatting with people when you should be checking the printers. You must punch out whenever you are leaving the lab monitor desk for personals reasons, except to use the facilities (bathrooms). If you do not punch out before you leave the desk for personal reasons, your employment will be terminated.

You will also lose your work-study allotment for the entire time you are a student at Champlain.

Scanner in the Library
We now have a scanner in the library. It's on the second floor where the TV/VHS/DVD players are located. This is next to E-Learning, and across from the lab monitors station. The lab monitors will be responsible to help people use it.

Paper for the Photocopiers
I apologize for not having information about the 1st floor photocopier available until now. The first floor copier has 8 ½ x 11 inch paper in the top drawer. The bottom drawer has 11 x 17 inch paper. The 11 x 17 inch paper for the bottom drawer is located in the cabinet under the printer on the 1st floor.

Paper Handling Rules
Please leave all paper in the original wrapper until it is placed in the printer tray
Do not leave reems or loose paper next to the printers, in the paper cabinets, or in the filing cabinet.
Do not over fill any printer trays
Do not leave paper in any of the non-locking cabinets.

Reporting Problems with Computers
Please put the computer # on the Question & Answer Form as well as the location, for example Miller2lab 01, not just Miller2lab. This will help us and the Help Desk track problems with certain computers.

Reporting Problems to the Help Desk
If you cannot fix the problem, please call the Help Desk to report the problem, so they can fix it.

Paper Location
Paper is located in the black cabinet, located behind the lab monitor desk. If you need more paper, you should be taking it from the 1st or 2nd cabinet located on the 2nd floor in the printer room. You should not be taking the paper from the 1st floor cabinets. The paper key for the paper cabinets is located in my office, room 103.

Filling the Printers
We have been getting reports that the printer on the 3rd floor has been neglected. All printers need to be checked & filled every hour.

Printer Jamming Problems
2nd Floor Printer:
Just another reminder not to the move the sliders when putting paper into the 2nd floor printer. We had a terrible jam this morning, because the sliders were moved again. You should be putting the paper in the trays and not moving anything.


1st Floor Printer:
We had a problem with the 1st floor printer jamming, because the drawer was overstuffed with paper.

2nd floor Printer Jamming Problem & Toner Issue
The service technician, Ken, informed me that we are causing the jamming problem with the second floor printer.

Do Not move or change the slider that holds the paper in place in the trays. Someone was moving it to put the paper in the trays and not moving it back. This allowed the paper to slide back and forth in the printer causing the jams. You should be putting the paper in the trays and doing nothing else.


Toner Issue:
Also, we should not be shaking the toner cartridges in any of the printers. Especially, do not shake the toner cartridge for the 2nd floor printer. The toner was everywhere in the printer. The inside of the 2nd floor printer has just been cleaned.
